With new AI products launching all the time, it is easy to adopt a tool because it is popular rather than because it is useful. A little structure helps teams choose well.

Start with the task

Write down the specific job you want help with, such as drafting routine emails, summarising meetings or sorting support requests. A clear task makes it possible to judge whether a tool actually helps.

Questions to ask before you adopt

  • Does it save measurable time or improve quality for this task?
  • How does the vendor store, use and protect the data you enter?
  • Can you control who has access and what is shared?
  • What happens to your work if you stop using the tool?
  • How much human review will the output need?

Run a small pilot

Let a few people try the tool on real work for a few weeks. Compare results with the current process, and gather honest feedback about errors and effort saved.

Plan for oversight

AI tools can produce confident but incorrect answers. Decide which outputs must be checked by a person, and set simple rules for sensitive or confidential information.

Review regularly

Tools and pricing change. Revisit your choice periodically and drop tools that no longer earn their place.
